An effort is underway to develop a robust online system to facilitate the scheduling and support of videoconferencing in California schools.

The system will automate notifications between participants and technical staff, collect and report data on usage, collect and report evaluation data, and make videoconference setup and coordination more efficient in general.

The Technology and Telecommunications Steering Committee (TTSC) of CCSESA is currently working on a project to facilitate the coordination of videoconferencing in California schools. The first step is to collect appropriate contact information from the 58 County Offices of Education.


Phase 1 (July 2004)

This phase will focus on establishing the primary role accounts (contacts) for each of the 58 COE locations. These include:

  1. Administrative Contact - This contact has administrative control over the location profile in the system and is expected to be an individual at a COE with administrative oversight for videoconferencing in the organization.
  2. Technical Contact - This contact is the individual that manages the technical support and operational duties required for videoconferencing.
  3. Alternate Contact - This contact can be an alternate person or role account (such as video@icoe.org) to assist with notifications in the system. The system will notify the technical and alternate accounts identically. This account is to provide a backup to ensure effective communication.

Note: An individual may be listed as more than one contact.

Once the accounts for the primary contacts are established, information on equipment and services will be collected.


Phase 2 (August - September 2004)

This phase will implement a complex scheduling and messaging system to facilitate the coordination of videoconferencing. Individual workflows in the system will be established for end users, conference coordinators, and MCU (Bridge) managers.


Phase 3 (October 2004)

This phase opens the fully-developed system to locations other than the 58 COE locations (districts, schools, etc.)
